Friends, relatives and colleagues do not always land together. A group trip to Istanbul becomes easier to coordinate when the airport pickup is organised by flight, while the reunion is organised around one clearly identified hotel or address. Start with who arrives where, not the total number of people in the holiday group.
Build a flight-by-flight arrival list
Use one row per arriving party. Include the airport code, flight number, local arrival date and time, passenger names, luggage count and a reachable group contact. Istanbul Airport uses IST; Sabiha Gökçen uses SAW. Two tickets saying Istanbul do not necessarily mean the passengers can meet in the same arrivals hall.
Choose a realistic place to reunite
If one party lands at IST and another at SAW, separate airport-to-hotel journeys are often a clearer starting point for planning than collecting everyone through both airports. Ask for the available routing and quotes before deciding. A hotel lobby can be a meeting point only when the property has agreed to receive the group; confirm the exact hotel branch and street address.
Sharing a car needs more than similar landing times
A scheduled landing time is not the time passengers reach the vehicle. Baggage collection and arrival formalities may finish at different times. When two flights use the same airport, ask whether a combined pickup is practical and what happens if one party is delayed. Confirm the waiting arrangement instead of assuming the first arrivals can hold the car indefinitely.
Make a delay plan before anyone boards
Nominate one organiser and one contact per arriving party. Each party should know its own meeting instructions. If a flight changes, send the new flight details and ask whether the pickup will stay separate or be regrouped. Do not move a party to another airport to solve a delay without checking the route and new booking arrangements.
Send a useful group brief
Example: party A, two adults, IST, flight/date, two suitcases; party B, three adults, SAW, flight/date, three suitcases. Add the common hotel address and a contact for each party. This is a booking example, not confirmation that one vehicle will serve both airports.
For the journey home, build a new list by departure flight. The arrival groups may have different return dates or airports, so the outward plan should not simply be reused.
Questions before booking
Can one car collect passengers at both IST and SAW?
Request a specific route and quote. It is not a normal single-airport pickup, and availability, travel time and waiting need separate confirmation.
What if a guest has no mobile internet?
Give that guest the written meeting instructions and an alternative contact method before departure. Agree the fallback with the reservation team.
Should all passengers use the organiser’s name?
Use the booking contact requested by the team, but identify each arriving party clearly so the correct passengers can be matched to each pickup.
